Room Rates, Cancellations & Lost Items

ROOM RATES:

Room rates range from $199-$345/night (plus tax) for double occupancy, which includes a full gourmet breakfast served at 9am and a social hour every evening from 4:30-6pm offering wine and cheese.  We also provide our guests with complimentary access to our Butler’s Pantry, where you’ll find coffee, tea, soft drinks, water, ice, snacks and baked goods around the clock.  We can accommodate up to three guests in the Carolina Cottage for an additional $50/night (plus tax).

When you confirm a reservation with us, you are entering into a contract.  You, as our guest, guarantee payment subject to the cancellation policy stated below and any terms that are agreed upon over the telephone or Internet. Each reservation requires a guarantee with an advance deposit by MasterCard, Visa, Discover or American Express. One night or 50% of your total stay (whichever is greater) is required as a deposit. Cancellations require at least a 21-day notice, and will be subject to a re-booking fee of $45/ night / room.  In the unfortunate event your reservation is canceled within 21-days, the full amount of the reservation is charged and is non-refundable unless we are able to re-book the room.  Early departures or “no-shows” and any booking errors made by a 3rd party site or travel agent are also included under this cancellation policy.

We require a 24 hour cancellation notice for any massage or spa treatment appointments.

Biltmore Village Inn is not responsible for cancellations or delays in arrival due to weather, transportation or ailments.  Regular cancellation policy applies.

Please note that there is a 24 hour notice required to cancel any massage appointments.

Lost Items:

Sometimes while traveling things get left behind.  We’re happy to ship things left behind to you by using the credit card we have on file.  Guest’s personal property, including vehicles, are not insured by the property owners against loss or damage due to theft, vandalism, rain, water, criminal or negligent acts of others, or any other cause.

Check-in & Check-out Procedures

Check-in

Check-in is between 3-6 p.m. Late arrivals (after 6pm) must be approved in advance as we have special instructions to provide you with.  Please consider our check-in time when making your travel arrangements.

We provide a detailed tour of the home at the time of your check-in, however, if you’re in a hurry and needing to get checked-in quickly, please advise us when you arrive so we are courteous to your needs.

Check-out

Check-out is by 11 AM.  A later check-out may be possible for an additional cost.  Please ask your Innkeeper for details.

Payment Options

We cheerfully accept Visa, MasterCard, Discover and American Express. Gift cards/certificates from some websites may also be accepted as payment. Please verify with us if we can accept these certificates from the source that you have at the time of booking. Also note that there is a fee per certificate used (determined by amount the source charges our Inn to accept).

Non-Smoking & Damages Policy

We are a NON-SMOKING inn, including the porches and grounds. Failure to comply with our policy in your room will result in a $300 service charge to completely clean the room.

Any damage to the rooms or articles in the rooms caused by neglect on the part of a guest will be the responsibility of the guest and appropriate charges for the repair or replacement of damages will be charged to the room.

Only overnight guests of the Inn are allowed on the property or in the home.  Please contact your Innkeeper should you wish to have visitors.  Additional fees may apply and guests of the Inn are responsible for any damages by their visitors.

Pet Policy

Biltmore Village Inn welcomes you and your dog to stay in luxury! While dogs are not allowed in the Historical Mansion or any other guest room, the Carolina Cottage is dog-friendly. Please read our Pet Guidelines below if you are planning to bring along your dog.

Pet Guidelines

Please inform the Innkeeper that you are bringing your dog along with you before your arrival. Dogs are welcome in the Carolina Cottage and Pergola area. Inside the Historical Mansion and the wrap-around-porch remains off-limits to all pets. We allow only one dog under thirty-five pounds to stay at the Inn. There is a $45 a day, non-refundable pet charge. While we prefer you take your pet along with you while away from the Inn, well-behaved dogs may stay alone in the room as long as they are confined to a crate or dog carrier that you must bring along with you.

While walking your dog around the grounds, you must have your dog on a leash and under your control at all times.  Due to the special care of our grounds by our Groundskeeper, please use the designated areas around the home for potty breaks and you must clean up after your pet and properly dispose of the bags.  There will be a $50 fee per instance if you do not clean up after your pet.

We respect that guests enjoy peace and quiet while visiting the Inn, therefore, we reserve the right to enforce a “no tolerance” policy on barking.

Please do not use Inn towels for your dog.  We provide towels, sheets, dog biscuits, food/water bowls and potty bags.  There will be a $75 fee should we find that towels were used for your dog.  Should your dog sleep on the bed with you, please use the extra sheet provided to cover our linens.  Please keep in mind that there may be an additional cleaning fee charged after check-out should your room require extra cleaning or if your pet had any accidents on our rugs.

Children Policy

We are not able to accommodate children under the age of 14 years old. We respect that most of our guests come to our inn for a romantic getaway and have made prior arrangements to spend quality time away from their children.
