Our Policies and Frequently Asked Questions

How much is my deposit and when do I pay my balance?

At the time of booking, 50% of your reservation will be charged. For one night stays, we charge the full amount. If you are making your reservation within 15 days of arrival, please note that the full amount is due upon booking. We accept credit cards only.

Your balance is due 15 days before arrival and will be charged to the card we have on file. If you wish to use a different card for the balance, please notify us at least 20 days in advance to avoid a $45 re-processing fee.

What time is check in and check out?

Your room will be ready for you by 4pm on the day of your arrival. Please be sure to review your arrival instructions that will be emailed to you for the easiest check-in experience.

Check-out is by 11am on the morning of your scheduled departure. Unfortunanlty, due to our smaller size, we do not accommodate late check-outs.

What time is breakfast?

We serve breakfast promptly at 9 am and ask that you please arrive on time. Our breakfasts are thoughtfully curated by our in house chef and served in two courses.

Do you accommodate food allergies or dietary restrictions?

Yes! We are happy to provide substitutions for all dietary needs or allergies as long as we are made aware of your needs at the time of booking. Consuming raw or undercooked meats, poultry, seafood, shellfish, or eggs may increase your risk of foodborne illness. Please let us know at the time of booking if you prefer your eggs be cooked over-hard.

Do you accommodate special requests?

Yes! We are happy to provide as much help to our guests as possible. So please let us know of your needs at the time of booking so that we may see if we are able to accommodate you. Please note that are are unable to accommodate same day special requests.

What is the age requirement and do you allow pets?

BVI is happy to welcome all guests age 16 and above.

Although we love our own animals, we do not allow pets of any kind to stay at BVI.

How many guests can BVI sleep?

BVI has 8 guest rooms and can sleep a maximum of 17 guests. All rooms accommodate 2 guests with the exception of the Carolina Cottage. The Carolina Cottage may sleep up to 3 guests for an additional $150 per night. Please be sure to make your innkeeper aware at the time of booking if you wish to book the Carolina Cottage for 3 guests.

Can I book the entire home for my group?

Absolutely! We love groups. In fact, we host a few retreats and weddings every year where they book all guest rooms for their group. Please note that we do require a contract for any group reservations where you are booking 3 or more rooms.

Is smoking or vaping allowed?

No, BVI and the surrounding grounds are 100% non-smoking/non-vaping. Should you smoke in one of our guest rooms or on the grounds, a fee of $500 will be automatically charged to the credit card you provided.

What happens if I misplace an item or leave something behind?

BVI is not responsible for any misplaced or lost money, jewelry or valuables of any kind. If you leave something behind in the room, we will do our best to alert you as quickly as possible so that you can come back to pick it up before leaving town. If necessary we can ship items to your address and will charge your card on file the shipping cost + a $15 handling fee.

What is the cancellation policy?

Cancellations made more than 15 days before the start of your scheduled arrival date will receive a refund, less a 12% rebooking fee from the deposit. Reservations made between the months of October, November, and December require 30 days notice.

Any date change requests made more than 15 days before the start of your scheduled arrival are also subject to the 12% re-booking fee.

Cancellations or date changes made within 15 days notice are non-refundable for the full amount. Changes to your reservation, early departures, or “no-shows” are also included under this policy. This policy applies to cancellations or arrival delays due to weather, transportation, or health issues such as Covid-19.

How do I cancel or make changes to my reservation?

All cancellations and date changes must be emailed to your innkeeper. Please email info@biltmorevillageinn.com right away so that we can process your request. Be advised that your request is not valid until we receive your email. Our policies are subject to change based on demand so please be sure to reference your confirmation email for the most accurate policy.

Do you make any exceptions to your cancellation policy?

No, BVI does not make any exceptions to our policy for any reason. This applies to cancellations or arrival delays due to weather, transportation, or health issues.

We recommend all guests purchase at least a basic level trip insurance package from a third-party trip insurance provider.
